Operational Support Manager

As a high growth potential start-up in the algae production industry, MiAlgae is looking for a driven, proactive and well organised Operational Support Manager to work in its close-knit Edinburgh team. This is a highly autonomous role requiring you to take the initiative and work flexibly to achieve the company’s potential. The successful applicant for this role will be able to shape their own role in the company as it develops.

Job description:

Reporting into the General Manager, this role is a mix between a logistics/operations role and a wider administerial role. The role will see you managing business processes while simultaneously assisting the team in the delivery of current projects. The company is in the process of building up the foundations to allow us to grow at a very quick rate and the successful candidate will play a key role in implementing these foundations. This position will require you to work flexibly in a quick paced company that looks at things differently. You will be required to professionally engage with suppliers, customers, and other stakeholders. This position will not be limited to a strict job description and will see the successful candidate working on a diverse set of problems.


Company Details:

MiAlgae is a microalgae production company which utilises circular economy (and nutrient recycling) in order to reduce manufacturing costs. The microalgal products generated are aimed at the agricultural feed industry. We are a green company and aim to contribute strongly towards the sustainability of the planet and more responsible use of our resources. We are particularly interested in the aquaculture feed and pet food industries and the production of omega-3 oil supplements for their feeds. MiAlgae is currently in the process of completing R&D and we will soon commence marketing our first products to the pet food industry.


Basic qualifications:

  • Concise verbal and written communication skills.

  • Relevant office management experience.

  • Logistics and systems experience.

  • Business acumen and ability to offer solutions and influence decisions.


Preferred qualifications:

  • HND qualified although experience may substitute for education.

  • Understanding of business processes and office management practices in a start up.

  • Experience developing and implementing the systems required to transition a business from R&D to commercialisation.

  • Knowledge of ISO9001 and ISO14001 accreditations and what is required to achieve and retain certification.

  • Multi-tasking and problem-solving abilities with an understanding of quality management principles.

  • Strong desire to benefit the environment and do well by doing good.


Key Responsibilities:

  • Designing and implementing new and improved processes, procedures, policies and systems to support the business.

  • Implementing and maintaining procedures/office administrative systems.

  • Organising meetings, booking transport and accommodation for company events, tradeshows and conferences.

  • Obtaining quotes and managing procurement of office and lab consumables.

  • Dealing with correspondence, complaints and queries.

  • Preparing letters, presentations and reports using a range of software packages.

  • Liaising with staff, suppliers and clients.

  • Organising induction programmes for new employees and assisting the organisation's HR function by keeping personnel records up to date, arranging interviews and so on.

  • Ensuring that health and safety, quality and environment policies are up to date.

  • Managing stock levels to orchestrate deliveries to meet customer demand.

  • Receives products, prepares loads for shipment and coordinates delivery.

  • Managing activities throughout the order fulfilment and transportation cycle.

  • Attending meetings with senior management.

  • Liaising with the company bookkeeper to ensure Management Accounts are up to date.
